1. About these terms

These Terms of Service (“Terms”) govern your use of the Hireflow AI platform (“Service”), operated by Bradley Jones trading as Hireflow AI (“we”, “us”, “our”), accessible at hireflow.london.

By creating an account or using our Service, you agree to be bound by these Terms. If you do not agree, you must not use the Service.

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

2. The Service

Hireflow AI provides an AI-powered recruitment platform that enables:

  • Employers to post job vacancies and manage applications
  • AI-generated job descriptions and candidate scoring
  • Candidate pipeline and applicant tracking
  • Access to job listings imported from third-party sources (Adzuna)
  • CV building tools for job seekers
  • Email notifications and communication tools

We reserve the right to modify, suspend or discontinue any part of the Service at any time. We will provide reasonable notice of significant changes where possible.

3. Your account

To use the Service you must:

  • Be at least 18 years old
  • Provide accurate and complete information when registering
  • Keep your login credentials secure and confidential
  • Notify us immediately of any unauthorised use of your account

You are responsible for all activity that occurs under your account. We are not liable for any loss resulting from unauthorised access to your account where you have failed to keep your credentials secure.

4. Employer responsibilities

If you use the Service as an employer or hiring business, you agree to:

  • Post only genuine, lawful job vacancies
  • Ensure job adverts comply with the Equality Act 2010 and all applicable UK employment law
  • Not discriminate against candidates on the basis of age, disability, gender, race, religion, sex, or any other protected characteristic
  • Handle candidate personal data in accordance with UK GDPR and our Privacy Policy
  • Not use the platform to collect candidate data for any purpose other than recruitment
  • Not post misleading, fraudulent or inappropriate job listings

We reserve the right to remove any job listing that violates these terms without notice.

5. AI-generated content

Our platform uses artificial intelligence (powered by OpenAI) to generate job descriptions and candidate summaries. You acknowledge that:

  • AI-generated content may not always be accurate or complete
  • You are responsible for reviewing and verifying all AI-generated content before publishing or relying on it
  • AI candidate scores are decision-support tools only — final hiring decisions remain your responsibility
  • We do not guarantee that AI features will always be available, as they depend on third-party providers

6. Subscriptions and payments

We offer free and paid subscription plans. Paid plans are billed monthly or annually as selected at checkout. All prices are displayed inclusive of VAT where applicable.

  • Free plan: Limited features as described on our pricing page. No credit card required.
  • Paid plans: Billed in advance. Subscriptions renew automatically unless cancelled.
  • Cancellation: You may cancel your subscription at any time. Access continues until the end of the current billing period. No refunds are issued for unused time within a billing period.
  • Price changes: We will give at least 30 days' notice of any price increases, effective from your next renewal date.
  • Failed payments: If a payment fails, we may suspend access until payment is resolved.

Payments are processed securely by Stripe. We do not store your card details.

7. Acceptable use

You must not use the Service to:

  • Post fake, misleading or fraudulent job listings
  • Harvest or scrape candidate data for any purpose other than recruitment
  • Send spam or unsolicited communications to candidates
  • Attempt to gain unauthorised access to our systems or other users' accounts
  • Upload malicious code, viruses or harmful content
  • Violate any applicable UK or international law or regulation
  • Engage in any activity that disrupts or degrades the Service

Breach of these conditions may result in immediate account termination without refund.

8. Intellectual property

The Hireflow AI platform, including its design, code, branding and AI models, is owned by us and protected by intellectual property law. You may not copy, reproduce or distribute any part of the Service without our written permission.

Content you create on the platform (job listings, company information) remains yours. By posting it, you grant us a licence to display and process it as necessary to provide the Service.

9. Third-party job listings

Our platform may display job listings imported from third-party sources including Adzuna. These listings are provided for informational purposes only. We do not guarantee the accuracy, completeness or availability of third-party listings, and we are not responsible for the hiring processes of third-party employers.

10. Limitation of liability

To the fullest extent permitted by law, Hireflow AI shall not be liable for any indirect, incidental, special, consequential or punitive damages, including but not limited to loss of profit, data or goodwill, arising from your use of or inability to use the Service.

Our total liability to you for any claim arising from these Terms shall not exceed the total fees paid by you to us in the 12 months preceding the claim.

Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under English law.

11. Termination

You may close your account at any time from your account settings. We may suspend or terminate your account if you breach these Terms or if we believe your use of the Service poses a risk to us or other users.

On termination, your access to the Service will cease and your data will be handled in accordance with our Privacy Policy.

12. Changes to these Terms

We may update these Terms from time to time. We will notify you of material changes by email or via a notice on the platform at least 14 days before they take effect. Continued use of the Service after that date constitutes acceptance of the revised Terms.
